What are category management tools, and how do you choose them?
Short answer
Category management tools are the analysis techniques and the software that category managers use to understand spend and supply markets, write category strategies and track their delivery.
Key takeaways
- Category management tools are of two kinds: analysis techniques such as the Kraljic matrix, ABC analysis and STEEPLED, and software that holds category data, strategies and initiatives.
- Category management software lets category managers build and follow a strategy for each category over several years. Spend analysis, sourcing and supplier management are its core features.
- In retail, the same words mean software for shelf space and product ranges. Check which meaning a vendor serves before a demonstration.
- The tools come as modules of source-to-pay suites, specialist category strategy tools, market intelligence services and spend analytics with initiative tracking.
- Choose by testing a real category: load its spend, build its strategy in the tool, and follow one initiative until the savings are recorded.
What are category management tools?
Category management tools are the methods and the software a category manager uses to run a category: see what is bought and from whom, understand the supply market, decide a strategy and check that it is delivered. Some are analysis techniques that work on paper or in a spreadsheet. Others are software products sold to procurement teams.
A category is a group of goods or services bought from the same supply market, such as IT hardware, freight or facilities services. What category management is, and how its cycle works, has its own guide. This page covers the tools: which techniques to use at each step, what category management software does, and how to choose it.
A concrete case: a new category manager takes over facilities services for a group of 40 offices. In the first month, she needs the spend by supplier and site, a view of the cleaning and security markets, a ranking of sub-categories by value and risk, and a place to record the strategy and the projects that follow. Each of these needs has a tool, and only some of them need software.
Which analysis tools does a category manager use?
The analysis tools of category management are techniques that turn data into a decision. CIPS lists the Kraljic matrix, ABC analysis and STEEPLED analysis among the main ones, alongside its category management cycle. The table adds two models that look at suppliers and stakeholders.
| Tool | Question it answers | Input | Output |
|---|---|---|---|
| Spend analysis (spend cube) | What do we buy, from whom, and who buys it? | Invoices, purchase orders, ledger data, classified by category | Spend by category, supplier and business unit |
| ABC analysis | Which sub-categories or suppliers carry most of the value? | Spend per sub-category or supplier | Groups A, B and C by value and importance |
| Kraljic matrix | How much effort does each category need, and which approach? | Profit impact and supply risk per category | Leverage, strategic, bottleneck and routine quadrants |
| STEEPLED analysis | Which outside factors will change this market? | Social, technological, economic, environmental, political, legal, ethical and demographic trends | A list of market risks and opportunities for the strategy |
| Supplier Preferencing Matrix | How do our suppliers see us as a customer? | Our value to each supplier and the attractiveness of our account | Core, exploitable, development and nuisance accounts |
| Stakeholder map (Mendelow matrix) | Whose support does the strategy need? | Power and interest of each internal stakeholder | Stakeholders sorted by power and interest, to decide how closely to involve each one |
Start with the spend analysis and the Kraljic matrix: they decide where the other tools are worth the time.
In the facilities example, the spend analysis shows that cleaning and security make up most of the category’s value, so they are group A. The Kraljic matrix places cleaning in the leverage quadrant, with many suppliers and a tender as the usual approach, and the maintenance of one building’s fire system in the bottleneck quadrant. A STEEPLED review flags a rise in the minimum wage, which drives cleaning prices. None of this needs special software; it needs clean spend data. How to build it is explained in spend analysis, and how suppliers see the account in supplier relationship management.
What does category management software do?
Category management software is an application where category managers build, follow and report on the strategy for each category over several years. Gartner Peer Insights describes the market as tools that let category managers create and monitor their medium- to long-term sourcing. The mandatory features it lists are supplier management, spend analysis and strategic sourcing.
Product pages describe the same core. SAP’s page for SAP Ariba Category Management lists category profiles, a purchasing category taxonomy, guided strategy creation with Kraljic segmentation, dashboards that track goals, initiatives and actual benefits, and sourcing projects started from the plan. Coupa, when it bought Cirtuo in May 2025, listed guided category strategy, guided supplier strategy, and initiative management with value tracking.
| Feature | What it does | Test to ask for |
|---|---|---|
| Category profile and taxonomy | Holds the scope of each category, its codes, spend, suppliers and contracts in one place | Load one of your categories and map it to your own classification |
| Spend and market data | Shows spend by supplier and business unit, with prices, market indices or analyst reports | Show last year’s spend for the category from your data, not demo data |
| Guided strategy | Walks the category manager through analysis, segmentation and the choice of approach | Build a strategy for a real category in the session |
| Initiatives and pipeline | Turns the strategy into projects with owners, dates and target savings | Create a tender initiative and start the sourcing event from it |
| Savings and value tracking | Records target, negotiated and realised savings, and benefits beyond price | Follow one initiative from target to savings confirmed by finance |
| Supplier strategy | Links the category strategy to plans for its key suppliers | Show the supplier plan behind one category goal |
| Stakeholder approval | Collects review and approval of the strategy by budget holders | Send a strategy for approval to two stakeholders |
| Reporting | Gives a portfolio view of categories, initiatives and value for management | Produce the yearly category review pack |
Savings tracking and the link from strategy to sourcing events decide most selections: a strategy that cannot start a project stays a document.
Many products now add generative AI or machine learning to these features: SAP describes AI-driven market and cost insights, Coupa AI-guided strategies, and Beroe an AI analyst. Treat them like any other feature and test them on your own categories. NIST’s Generative AI Profile warns that such systems can state false content with confidence. Ask where each market figure comes from, and check a few against their source before a strategy relies on them.
Is category management software in retail the same thing?
No. In retail, category management means managing a group of products on the shelf, such as breakfast cereals, to sell more. Retail category management software plans shelf space and product ranges. A retail vendor’s comparison lists planograms (drawings of how products sit on a shelf), floor planning, assortment optimisation, store clustering and shelf compliance as its usual features.
Procurement category management looks at the other side: what an organisation buys, not what it sells. Searches for category management software return both kinds of product. Ask each vendor which one it sells before a demonstration; a planogram tool will not hold a sourcing strategy.
Which types of category management tools are on the market?
Category management tools for procurement come in five forms. Many organisations combine two of them, for example a suite module for the strategy and a market intelligence service for the data.
- Category module of a source-to-pay suite
- Strategy and initiative tracking inside a suite that also runs sourcing, contracts and purchasing. The strategy can start sourcing events and read spend from the same system. How to choose a suite is covered in source-to-pay software.
- Specialist category strategy tool
- A product built around the strategy itself: guided analysis, templates, supplier strategy and initiatives, connected to the systems that hold spend and sourcing.
- Market intelligence service
- Category and supplier reports, price trends, cost models and risk alerts, sold as a subscription, often with access to analysts. It feeds the market part of a strategy rather than holding the strategy.
- Spend analytics with initiative tracking
- Spend analysis software that also follows savings projects and their results. The selection of spend analysis tools is covered in spend analysis software.
- Spreadsheets and templates
- Still the most common tool for a handful of categories: a spend extract, a strategy template and an initiative list. They work until several category managers update the same files.
Sourcing events themselves, such as RFQs, tenders and auctions, run in sourcing software; how to choose it is explained in procurement sourcing software.
How do you choose category management tools?
Choosing category management tools is a selection project with your own categories as test cases. The steps below work for a company or a public body; a public buyer also follows its own procurement rules when it buys the software.
- Write down how category management runs today: the categories, the owners, the strategy template, how initiatives and savings are tracked, and where the data comes from.
- Check the data first: can spend be grouped by category from your ERP or procure-to-pay system, and how much of it is classified?
- Decide the scope: strategy and initiatives only, or also spend analysis, market intelligence and sourcing. Write down what stays in other systems.
- Choose two test categories, one leverage and one strategic or bottleneck, and prepare their real spend files.
- Build a long list by type of tool, then shorten it on documented scope, links to your systems, languages and references at your size.
- Run scripted demonstrations: each vendor loads your test categories, builds a strategy, creates one initiative and starts a sourcing event from it.
- Ask finance how savings are confirmed today, and check that the tool can record them the same way.
- Compare total cost over the contract term and agree how you will export strategies, initiatives and savings history if you leave.
The same method runs any software selection; the procurement software guide covers long lists, scripted demonstrations and total cost of ownership in more detail.
Which criteria decide between category management tools?
The criteria that decide between category management tools are the ones that are hard to change after go-live: where the spend data comes from, how strategies turn into sourcing projects, how savings are counted, and how much of the tool your team can configure.
| Criterion | What to ask | Evidence to request | Warning sign |
|---|---|---|---|
| Spend data | Which of our systems feed the category spend, and how is it classified? | Our test category loaded from our own data | Spend uploaded by hand for each strategy |
| Taxonomy | Can it use our category list, or must we adopt the vendor’s? | Our classification mapped in a trial | A fixed taxonomy that does not match our budget lines |
| Strategy to execution | How does an initiative become a sourcing event or a contract? | An initiative that starts an RFQ in the demonstration | Strategies stored as attachments with no link to projects |
| Savings method | How are target, negotiated and realised savings recorded and approved? | One initiative followed to savings confirmed by finance | Savings typed in by the category manager with no approval |
| Market data | Where do market and price figures come from, and how old are they? | The source and date of each figure shown | AI-generated market summaries without sources |
| Configuration | Can we change templates, fields and approval steps ourselves? | An administrator session in a trial environment | Every change needs the vendor’s services team |
| Total cost and exit | What will licences, data feeds, set-up and support cost, and can we export everything? | A priced proposal for the full term and an export specification | A low first year with steep renewals, or no export of strategy history |
Weight the spend data and the savings method highest: a category tool is judged by the savings finance agrees with, and those start with the right spend.
Which vendors offer category management software?
Category management software vendors include source-to-pay suites, specialist strategy tools, market intelligence providers and spend analytics vendors. The table describes several of them in alphabetical order, in the vendors’ own words: Beroe, Coupa, SAP and SpendHQ from their own pages, and GEP, Ivalua and JAGGAER from the product descriptions the vendors supply to Gartner Peer Insights, which are not Gartner’s assessment. It is a starting point for a long list, not a ranking. Inclusion is not a recommendation, and the author has not tested these products for this guide.
Disclosure: the author works as an Ivalua consultant. This comparison relies on public documentation and, where stated, first-hand use.
| Vendor | Product | Type | Category scope in its own words | Published prices |
|---|---|---|---|---|
| Beroe | Beroe intelligence services | Market intelligence | Intelligence on markets, categories, suppliers, costs and risk; building category strategy; an AI analyst | No |
| Coupa | Coupa Category Strategy (Cirtuo until January 2026) | Source-to-pay suite | Guided category and supplier strategy, initiative management and value tracking | No |
| GEP | GEP SMART | Source-to-pay suite | Sourcing, contracts, supplier management, procurement and savings tracking in one platform (vendor’s Gartner Peer Insights description) | Not on the listing read |
| Ivalua | Ivalua Strategic Sourcing | Source-to-pay suite | Sourcing projects, supplier onboarding, RFx and auctions (vendor’s Gartner Peer Insights description) | Not on the listing read |
| JAGGAER | JAGGAER ONE | Source-to-pay suite | Spend analysis, supplier management, sourcing, contracts, procurement and invoicing (vendor’s Gartner Peer Insights description) | Not on the listing read |
| SAP | SAP Ariba Category Management | Source-to-pay suite | Category profiles and taxonomy, guided strategy with Kraljic segmentation, tracking of goals and benefits, sourcing projects | No |
| SpendHQ | SpendHQ platform | Spend analytics and performance management | Spend intelligence, savings opportunities, tracking of procurement initiatives and value | No |
Use the type column to build a long list, then ask each vendor to load one of your own categories; scope on paper says little about how a strategy is followed in practice.
The table says what vendors offer, not how well it works. A capability missing from a page is not proof that the product lacks it, and vendor wording changes often. Analyst markets overlap too: Gartner Peer Insights lists some of the same products under spend analytics and under category management, so compare them on the scope you need rather than on the market they are listed in.
How much do category management tools cost?
The analysis techniques cost nothing but time and data. Category management software is sold as a subscription quoted after scoping: none of the vendor pages read for this guide published a price. Quotes usually depend on the modules, the number of category managers and other users, the data feeds and the market intelligence included.
Add the cost of preparing spend data, set-up of templates and approval steps, integration with the ERP and sourcing tools, training, internal time and yearly price increases. If you already run a source-to-pay suite, price its category module against a specialist tool on the same scope: the suite may already hold the spend and sourcing data the strategy needs.
Questions
Do we need software to do category management?
Not at the start. A spend extract, a strategy template and an initiative list are enough for a few categories. Software becomes worth its cost when several category managers work on many categories and savings must be tracked from strategy to finance approval in one place.
What is the difference between category management software and sourcing software?
Category management software holds the strategy for a category over several years and the initiatives that follow from it. Sourcing software runs each event: requests for quotation, tenders, auctions, evaluation and award. Many suites offer both and start an event from an initiative.
Is category management software the same as spend analysis software?
No, but they overlap. Spend analysis software cleans, classifies and shows spend data. Category management software uses that data to build strategies and track initiatives. Some spend analytics vendors add initiative and savings tracking, which brings them close to category management tools.
What does a category management platform cost?
Vendors quote prices after scoping and none of the pages read for this guide showed one. The quote usually depends on modules, users, data feeds and market intelligence. Add data preparation, integration, training and internal time to the subscription when you compare offers.
Which category management tools does the public sector use?
The same techniques: spend analysis, segmentation and market analysis. UK central government asks departments to manage third-party spend by category through its commercial standard, GovS 008. Public bodies buy the software through their own procurement procedures, sometimes as part of an e-procurement or source-to-pay platform.
