How do you choose vendor risk management software?

Short answer

Vendor risk management software tiers suppliers, runs due diligence, stores evidence and watches outside risk signals; choose it by testing your own suppliers and cases, not rankings.

Key takeaways

  • Vendor risk management software holds the risk side of each supplier record: intake and tiering, due diligence questionnaires and evidence, outside risk alerts, issues and their fixes, and the reports management and regulators ask for.
  • Supplier risk management software is the same family seen from procurement. Gartner separates supplier risk tools, which follow disruption across the supply network, from third-party risk tools, which assess subjects such as cybersecurity for every outside party.
  • Four kinds of product share the market: third-party risk platforms, supply chain risk monitoring, single-subject data feeds (security ratings, credit, sustainability) and the supplier modules of source-to-pay suites.
  • Choose by tier and use case: list the questions your policy asks, the evidence it needs and the outputs a regulator expects, then make each shortlisted vendor run your own cases in a scripted demo.
  • None of the vendor pages read for this guide publish prices. Ask for a quote on the same scope: number of suppliers assessed, modules, outside data feeds, users and integration.

What is the best vendor risk management software for your organisation?

The best vendor risk management software is the one that runs your own risk policy. It tiers suppliers by what they touch, asks each tier for the right evidence, warns you when a supplier changes and records each decision. A test on your own suppliers shows which tool does that; a ranking cannot.

Start from who carries the risk. A bank that must keep a register of its technology providers needs strong questionnaires, evidence review and regulatory reports. A manufacturer that fears a flood at a sub-supplier’s plant needs maps of its supply network and event alerts. A company with a few hundred suppliers and one procurement team may only need the risk features of its supplier management software. The sections below give the types of tool, the features to test, a method, the vendors and how they price.

What vendor risk management itself involves, from risk types and tiers to contract clauses and exit, is explained in the vendor risk management guide. This page is about the software that runs it.

What does vendor risk management software do?

Vendor risk management software is an application that runs the risk steps of the supplier lifecycle in one place. It replaces the spreadsheet of review dates, the questionnaires sent by email and the folder of certificates that nobody checks after signing. Its core jobs are the following.

Intake and tiering
The person who asks for a new supplier answers a short form: will the supplier touch our data, systems, money or a critical service? The answers set an inherent risk tier, and the tier decides which checks follow.
Due diligence
Questionnaires sent to the supplier through a portal, scaled to the tier, with evidence attached: certificates, audit reports such as a SOC 2 report, insurance, policies. Reviewers score the answers and record findings.
Monitoring
Outside data that changes after signing: sanctions lists, credit scores, security ratings, adverse news, events near a supplier’s sites. An alert opens a task for the supplier’s owner.
Issues and remediation
Each finding becomes an issue with an owner, a due date and the supplier’s action plan, or a documented decision to accept the risk.
Review cycle and offboarding
Reassessment dates per tier, expiry dates for certificates, and an exit checklist when the relationship ends.
Reporting
Dashboards for management and the lists regulators ask for, such as a register of technology providers.

A simple case shows the flow. A marketing team wants a new email platform that will hold customer addresses. The intake form places the provider in a high tier because it processes personal data. The software sends the security and data protection questionnaire, asks for the provider’s certificate, records two findings, waits for the provider’s answers, and only then lets procurement sign. A year later, it reopens the review on its own.

Is supplier risk management software different from vendor risk management software?

Supplier risk management software and vendor risk management software overlap, but they come from two traditions. Gartner’s Peer Insights market for supplier risk management solutions describes platforms that identify and monitor risks such as financial instability, geopolitical concerns and compliance, assess how they may affect the buying organisation, and coordinate responses across the supply network.

The same Gartner page draws the line with third-party risk management (TPRM): supplier risk focuses on risks to the delivery of goods and services, while TPRM covers every outside party and goes deep on subjects such as cybersecurity, sustainability or quality. In Gartner’s words, TPRM tools detect risks and impacts but do not use that information across the full supplier network. In practice, vendor risk management software usually means the TPRM kind, bought by information security, compliance or a bank’s risk team. Supplier risk management software, or supplier risk management solutions, usually means the supply chain kind, bought by procurement and operations.

Four kinds of vendor and supplier risk management software, with the question each answers best
Kind of productQuestion it answers bestTypical buyerLimit to check
Third-party (vendor) risk platformHas this supplier proved, with evidence, that it controls the risks of what it does for us?Information security, compliance, risk teams in regulated firmsWeak on supply disruption and sub-tier suppliers unless it adds outside data
Supply chain risk monitoringWhich of our suppliers, and their suppliers, are hit by this event, and what do we lose?Procurement, supply chain and operations in manufacturingLighter on questionnaires and evidence review
Single-subject data feed (security ratings, credit, sustainability ratings)What does outside data say about this supplier today?Any of the above, as an inputOne subject only; a score is a signal to investigate, not a finding
Supplier risk module of a supplier management or source-to-pay suiteIs the supplier we are about to order from or pay checked and in date?Procurement, where suppliers are already managed in the suiteDepth of assessment and monitoring varies; many add outside data through partners

Most organisations need one main tool and one or two outside data feeds; few need a separate product of every kind.

Supplier risk management tools for a small team can also be a register in the supplier management system plus a sanctions screening service. The decision is less about the product name than about where your risks sit: in what suppliers do with your data and systems, or in whether goods keep arriving.

Which features matter in vendor risk management software?

The features that matter are the ones that make your policy run without manual chasing. Read each line of the table as a test to run in a demonstration, not as a box to tick on a vendor’s answer sheet.

Features of vendor risk management software and how to test each one
FeatureWhat good looks likeTest in the demonstration
Intake and tiering rulesYour own intake questions and tier thresholds, editable without the vendorChange one threshold and show which suppliers change tier

Outside data feedsSanctions, credit, security or event data matched to the right legal entityTrigger an alert on a supplier’s parent company and follow the task it creates
Issue and remediation trackingFindings with owners, due dates, supplier responses and accepted-risk decisionsClose an issue and show who approved it and when
Supplier portalSuppliers answer, upload and update without emailLog in as a supplier and complete a questionnaire
Contract linkRisk findings visible where the contract and its clauses are managedShow which high-risk suppliers lack an audit or data protection clause
Regulatory reportsThe lists your regulators ask for, exportable in their formatProduce your register of technology providers from test data
IntegrationSupplier records synchronised with the ERP and procurement systemBlock an order or a payment to a supplier whose assessment is overdue
AI assistanceHelp to read evidence or fill answers, with a link to the source and a human decisionAsk the vendor to show the source of each value the AI extracted

The integration and contract lines matter most: risk work that never reaches ordering, payment or the contract does not change what happens to the supplier.

Be careful with scores. A security rating built from what can be seen from the internet, or a questionnaire score built from the supplier’s own answers, is a signal. A certificate with its scope, or an independent audit report, is evidence. Good software shows the difference on screen.

What do regulations expect vendor risk software to produce?

No law requires a specific tool, but several rules expect records that are hard to keep without one. Check which apply to you before writing requirements: they decide which reports and fields the software must hold.

Rules that shape what vendor risk management software must record (as read in October 2026)
RuleWho it applies toWhat the software must help you keep
DORA, Regulation (EU) 2022/2554, Art. 28EU financial entities, from 17 January 2025A register of all contracts for technology services from third-party providers, marking those that support critical or important functions, with a report to supervisors at least once a year on new arrangements
NIS2, Directive (EU) 2022/2555, Art. 21Essential and important entities in the EU, from 18 October 2024Supply chain security measures for direct suppliers, taking into account each supplier’s weaknesses and security practices
GDPR, Regulation (EU) 2016/679, Art. 28Any organisation that uses a processor for personal data in the EUProof that each processor gives sufficient guarantees, and the processing contract with its required terms
US interagency guidance on third-party relationships (June 2023)US banking organisationsDue diligence, contract terms, monitoring and termination in proportion to the risk and criticality of each relationship

If a regulator can ask for a list of your critical suppliers and their last assessment, ask each vendor to produce that list from test data during the demonstration.

How do you choose vendor risk management software?

You choose vendor risk management software by writing down your own policy first, then testing products against it. A method that works:

  1. Write the policy the tool must run. Tiers, intake questions, the checks per tier, review cycles and who decides. If the policy does not exist yet, the tool will not write it for you.
  2. Count the volume. How many suppliers in each tier, how many new suppliers a month, how many reviews a year. This sets the licence size and the workload the tool must remove.
  3. List the outputs. Management dashboards, regulatory registers, audit evidence, and the blocks you want in ordering and payment.
  4. Choose the kind of product. Use the table above: third-party risk platform, supply chain monitoring, the module of your current suite, or a combination with one data feed.
  5. Build a long list, then a shortlist. Use analyst market pages, peers and vendor pages; keep three or four vendors that serve your kind of risk and your region.
  6. Run a scripted demonstration. Give every vendor the same five cases: a new high-risk software supplier, a low-risk stationery supplier, a sanctions alert on a supplier’s owner, an expired certificate, and a request to change a supplier’s bank details.
  7. Check integration and data. Ask how supplier records stay in step with the ERP and the procurement system, and how outside data is matched to legal entities.
  8. Compare the total cost. Subscription, data feeds, implementation, questionnaire set-up, migration of existing assessments and internal time, over the same term.

Watch what happens after each case, not only the screens. Who receives the task? What evidence is asked for? Is the decision recorded in the supplier record, and does it stop an order or a payment when it should? The same selection method, applied to any procurement software, is set out in the procurement software guide.

Which vendor risk management software vendors are there?

Vendor risk management software vendors fall into the four kinds above. The table lists some of them, as they describe themselves on their own pages, to help build a long list. On 29 October 2026, Gartner Peer Insights listed, among others, SAP Ariba Supplier Risk, Exiger, Prewave, Coupa and Resilinc in its supplier risk management solutions market; listing there is not an endorsement.

Use the kind column first: compare vendors of the same kind on your own cases, then decide whether one outside data feed must be added.

The table says what vendors offer, not how well it works, and it is not a ranking: inclusion is not a recommendation and the author has not tested these products for this guide. A capability missing from a vendor’s page is not proof that the product lacks it. Lists titled “best vendor risk management software” are often published by vendors that appear in them; read who wrote a list before relying on it.

How much does vendor risk management software cost?

None of the vendor pages read for this guide show a price. Several link to a pricing or packaging page that leads to a quote, and SecurityScorecard offers a 14-day free trial. Expect a yearly subscription quoted after scoping.

Ask each vendor to quote the same scope so that quotes can be compared: the number of suppliers monitored and the number assessed in depth each year, the modules, each outside data feed (security ratings, credit, sanctions, sustainability), the number of internal users, supplier portal access, and integration with your ERP and procurement system. Then add the costs outside the subscription: implementation, writing and loading questionnaires, migrating past assessments, training and the reviewers’ time. The reviewers’ time is often the largest line, and it is the one good tiering reduces.

Questions

What is the difference between vendor risk management software and third-party risk management software?

Vendors often use the two names for the same products. Third-party risk management is the wider term because it covers every outside party, such as agents and partners, not only suppliers. Banks and regulated firms tend to use it because their supervisors do; procurement teams more often speak of vendor or supplier risk management software.

Is there free vendor risk management software?

Some vendors offer free trials, such as the 14-day trial SecurityScorecard shows on its site. A full platform is a paid subscription. A small organisation can start without one: a register of suppliers with tiers, review dates and evidence links, plus a sanctions screening service, covers the basics.

Can a spreadsheet replace vendor risk management software?

For a few dozen important suppliers and one owner, a well-kept spreadsheet can work. It breaks down when questionnaires go out by email and come back as attachments, when certificates expire unnoticed, or when nobody can show a regulator which critical suppliers were reviewed and when.

Do supplier risk management solutions replace supplier management software?

No. Supplier management software holds the supplier record and runs registration, qualification and performance; supplier risk management solutions add assessment and monitoring around that record. Many suites include a risk module, and specialist risk tools usually connect to the supplier record rather than replace it.

How long does it take to implement vendor risk management software?

It depends on scope more than on the product. Tiering rules, questionnaires and review cycles have to be agreed before set-up, and existing suppliers must be loaded and tiered. Starting with critical and high-risk suppliers, then adding the rest, shortens the first phase.
