FF&E procurement software: what it does and how to choose it
Short answer
FF&E procurement software keeps the specifications, room-by-room item schedules, purchase orders, shipments and budget of a furniture, fixtures and equipment project in one place, from design to installation.
Key takeaways
- FF&E means furniture, fixtures and equipment: the movable items that furnish a building, such as beds, desks, chairs, lamps and artwork. FF&E projects run in hotels, hospitals, offices, campuses and senior living.
- FF&E buying is driven by a design: hundreds of specified items, multiplied by room types, ordered from many makers with long lead times, then shipped, stored and installed on site dates. That is what the software must track.
- Three kinds of tools do this work: specification and procurement platforms built for design projects, general procurement suites and ERP purchasing, and spreadsheets. Many projects combine two of them.
- Some owners buy software; others hire an FF&E procurement company that buys on their behalf with its own tools. Then the questions are who issues the orders, what the fee is, and what data the owner keeps.
- Choose with your own item schedule: load two or three room types, change one specified item, split one shipment, and see how the budget, the orders and the reports follow.
What is FF&E procurement software?
FF&E procurement software is the system that turns a designer’s furniture, fixtures and equipment specifications into priced item schedules, purchase orders and deliveries, and tracks each item against the project budget until it is installed. It replaces the usual mix of specification sheets, spreadsheets and email.
FF&E stands for furniture, fixtures and equipment. In a hotel, a hospitality industry guide lists guest-room beds, nightstands, wardrobes, desks and mirrors, lobby seating, restaurant tables and bar stools, and spa and fitness equipment. In a hospital programme, the same term covers the non-medical furniture: chairs, couches, tables, desks, shelves and cabinets. The common thread is that these items are specified by a designer, bought as a package for a new building or a renovation, and replaced on a cycle of years.
The software matters because FF&E is not bought like office supplies. A requester does not pick a chair from a catalogue; a designer specifies one chair, in one fabric and finish, and the project needs 240 of them across four floors, delivered in the week the rooms are ready. General procurement software handles approvals and orders well, but it rarely knows what a room type or a finish sample is.
What does an FF&E project ask of procurement?
The FF&E procurement process itself, step by step, is the subject of a separate guide, in preparation. For choosing software, the useful part is the list of things a project must keep track of, because each one becomes a requirement:
- Specifications: for each item, the maker, model, dimensions, finish, fabric, fire and accessibility requirements, and the approved sample.
- The item schedule: quantities per room type, multiplied by the number of rooms of each type, plus public areas and spares.
- Quotes and bids: often several suppliers per item or package, compared on price, lead time and freight.
- Purchase orders: usually one per maker or dealer, sometimes several per maker when contract and non-contract items cannot share an order.
- Lead times and expediting: checking that each order is confirmed, made and shipped in time for its installation date.
- Freight, consolidation and warehousing: goods from many makers, collected, stored and released to site floor by floor.
- Installation and the punch list: the walk-through that lists damaged, missing or wrong items, which must be fixed before final payment.
- Budget against the design: every specification change, and every price or freight change, shown against the approved budget.
Public examples show these items in practice. A 2026 invitation to bid from the College of Western Idaho asks bidders to price each sample room in separate lines for FF&E, freight, warehousing, installation, and design and project management, in good, better and best options. Illinois State University’s FF&E plan, updated in October 2025, requires a dimensioned plan and a code review before any quote, separate purchase orders for each contract manufacturer, and a walk-through with punch list before payment is authorised.
What does an item schedule look like in practice?
An item schedule is the bridge between the design and the orders. A simple, fictional example shows why it needs a tool. A 120-room hotel has two guest-room types: 80 king rooms and 40 twin rooms. The owner adds two spares of each item for damage.
| Item | Per king room | Per twin room | Rooms: 80 king, 40 twin | Spares | Quantity to order |
|---|---|---|---|---|---|
| King headboard | 1 | 0 | 80 | 2 | 82 |
| Twin headboard | 0 | 2 | 80 | 2 | 82 |
| Nightstand | 2 | 1 | 200 | 2 | 202 |
| Bedside lamp | 2 | 2 | 240 | 2 | 242 |
| Desk chair | 1 | 1 | 120 | 2 | 122 |
Five specified items already make 730 units across several makers; a real guest-room package has dozens of items before public areas are added.
Now the designer changes the desk chair late in the project, from a model at $310 to one at $355. The difference is $45 a chair, times 122 chairs: $5,490 more on one line, before any change in freight. In a spreadsheet, someone must find every tab that uses the chair. In FF&E software, the specification changes once, the schedule and the open purchase order follow, and the budget report shows the increase against the approved figure, with who approved it.
How is FF&E different from OS&E?
OS&E means operating supplies and equipment: the smaller items a hotel uses every day and replaces often, such as bed linen, towels, toiletries, hangers, dishware, glassware and housekeeping carts. A common way to put it: FF&E stays in the building, OS&E gets replenished. FF&E is bought with the design and construction schedule; OS&E is bought closer to opening and then again and again.
The line is not fixed. The same industry guide notes that hairdryers and coffee makers are filed as FF&E by some companies and as OS&E by others, depending on cost, life and the owner’s accounting rules. Agree the split at the start, because it decides which budget and which item schedule an item belongs to. OS&E procurement has its own guide, in preparation.
What does FF&E procurement software do?
The functions below are what FF&E projects need, whatever the product. The last column is the test to run in a demonstration, with your own data.
| Function | What it holds | Question to ask in a demonstration |
|---|---|---|
| Product library and specifications | Items with maker, model, finish, fabric, images, documents and approval status | Can a designer and a buyer work on the same item record, and see which version the client approved? |
| Item schedule by room type | Quantities per room type, number of rooms, public areas, spares | If one room type changes from 80 to 76 rooms, do all quantities and orders update? |
| Budget against specification | Approved budget per area or package, current cost, committed cost | Does a specification change show its cost effect before it is approved? |
| Quotes and bid comparison | Several suppliers per item or package, with lead time and freight | Can you compare three quotes on the same line, including freight and installation? |
| Purchase orders | Orders per maker or dealer, with deposits and change orders | Can it split one item across two orders, and show which rooms each order serves? |
| Lead times and expediting | Confirmation dates, production and ship dates, delays | Which orders will miss their installation date this week? |
| Freight, warehouse and receiving | Shipments, consolidation, storage location, received and damaged quantities | Can a warehouse receive a partial shipment and record a damaged item? |
| Installation and punch list | Installed quantities per floor or room, open defects | Is final payment held until punch-list items are closed? |
| Invoices and payment | Supplier invoices matched to orders and receipts, deposits | Does it check the invoice against the order and the received quantity? |
| Reporting and export | Client reports, budget reports, a full data export | Can you export every item, order and cost line to a spreadsheet at any time? |
The functions that separate FF&E tools from general purchasing systems are the room-type schedule, the link between specification and budget, and tracking to installation.
The invoice row is where FF&E meets ordinary accounts payable. Deposits on custom items, freight billed separately and partial deliveries make the usual three-way match harder, so check how the tool, or the accounting system behind it, handles them.
Which kinds of software handle FF&E purchasing?
Disclosure: the author works as an Ivalua consultant. The products named here are described from their publishers’ public pages, not from a test.
Four kinds of tools appear on FF&E projects. The two products named are examples of their kind, described from their publishers’ own home pages on 2 November 2026; naming them is not a recommendation, and neither home page showed a price.
| Kind of tool | Built for | Strength for FF&E | Usual gap |
|---|---|---|---|
| Specification and procurement platforms for design projects | Design firms, owners, brands and procurement teams on multi-property projects. Fohlio, for example, calls itself a “specification and procurement platform for complex, multi-project design” | Specifications, room schedules, budgets, purchase orders and shipment tracking in one place | Accounting, tax and payment often stay in another system |
| Business platforms for interior design firms | Design practices that also buy for clients. Studio Designer, for example, presents itself as a business platform for the interior design industry, with project management, accounting and a client portal | Proposals, client approvals and the firm’s own billing | Large multi-property programmes and owner-side budget control |
| General procurement suites and ERP purchasing | Organisations buying all categories through one approval and order process | Approvals, contracts, supplier records, orders and invoice matching | No room-type schedule, finish samples or installation tracking without customisation |
| Spreadsheets | Small projects and one-off renovations | Free, flexible, understood by every party | No single version, no link between change and budget, errors grow with every copy |
Owners with a pipeline of hotels or clinics usually need a design-project platform; an organisation that buys FF&E now and then may do better with its general procurement system and a disciplined schedule.
Combinations are common. A specification platform runs the project, and approved orders and invoices pass to the owner’s procure-to-pay software or ERP for payment and accounting. If you go that way, test the hand-off: the order number, supplier and amounts must arrive in the accounting system without being typed again.
Software or a hotel FF&E procurement company?
Many hotel owners do not run FF&E procurement themselves. They hire an FF&E procurement company, also called a purchasing agent, which sources, orders, expedites, stores and installs on the owner’s behalf, using its own systems. Searches for “FF&E procurement services” and “hotel FF&E procurement companies” are often this choice, not a software choice.
The two can coexist: the agent runs the work, and the owner keeps control through reports or access to the agent’s tool. Before signing, settle four points. Who issues the purchase orders, in whose name, and who holds title to the goods while they sit in a warehouse. How the fee works: the College of Western Idaho’s 2026 invitation to bid, for example, caps the bidder’s total markup on FF&E items at 2% of verifiable manufacturer or distributor invoice cost, and reserves the right to audit. What data the owner receives: item schedule, orders, invoices and photos of received goods. And whether that data can be exported at the end, so the next renovation does not start from nothing.
How do you choose FF&E procurement software?
The method is the one for any software procurement process, with FF&E data in the tests. Before any demonstration, decide who does what on your projects, because that decides who the users are.
- Draw the responsibility matrix: for each category, who plans, specifies, buys and installs it. Some hospital projects do this formally; one public hospital programme marks each equipment category as owner or contractor responsibility, and separates owner-furnished, owner-installed items from contractor-furnished, contractor-installed ones.
- List your scenarios: a new-build hotel, a renovation of occupied floors, a clinic fit-out. Note the volumes: projects a year, rooms, items, makers, countries and currencies.
- Shortlist by kind of tool, using the table above, not by brand awareness.
- Send each vendor the same data: two or three room types, about twenty items and three makers. Ask them to load it before the demonstration.
- In the demonstration, change one specified item, cut the number of rooms of one type, split one order across two shipments, receive one damaged item and close a punch-list line. Watch the budget after each step.
- Check who can log in: designers, the owner, the procurement agent, suppliers and the warehouse. Count what each kind of user costs.
- Ask for a full export of the test project and open it. Then check the contract terms on data ownership and on export after the contract ends.
The criteria that most often decide the choice are these:
- Fit with your projects: room types and floors for hotels, rooms and equipment groups for healthcare, floors and departments for offices and campuses.
- Control of the budget: a specification change cannot become an order without showing its cost and who approved it.
- Users outside your organisation: designers, agents and suppliers working in the same records, with limited rights.
- Links to finance: orders, receipts and invoices passed to your accounting or purchase order software without retyping.
- Several projects at once: reporting across a portfolio, and a product library reused from one property to the next.
- Cost model and exit: what you pay by project, user or property, and how your data leaves at the end.
What changes for hotels, hospitals and offices?
Hotels add the brand and the replacement cycle. A hotel bought by a new owner often needs a plan of works to meet the franchisor’s standards, and routine replacement is paid from an FF&E reserve. RLJ Lodging Trust, a US hotel owner, says in its annual report for 2024 that, for the hotels whose franchise or loan agreements require a reserve, the amount set aside typically ranges between 3.0% and 5.0% of the hotel’s total gross revenue. The software should therefore show spending against that reserve, not only against a project budget.
Hospitals add equipment groups and codes. The John Peter Smith Hospital programme in Texas sorts equipment into groups: fixed medical equipment, powered medical equipment, non-powered medical equipment, instruments, and non-medical furniture, the FF&E group. Furniture also faces fire and accessibility rules; Illinois State University, for instance, names California Technical Bulletin 133, a fire test for upholstered furniture, for some public and high-risk spaces. The tool must hold these requirements on the item record and keep the medical groups apart if another team buys them.
Offices and campuses add contracts. Much of their furniture is bought through framework or cooperative contracts with a few manufacturers, as at Illinois State University, so the tool should know which items are on contract and which need separate quotes. In every sector, payment waits for the walk-through and the punch list; a tool that cannot hold the final payment until defects are closed leaves that control to email.
Questions
What does FF&E stand for?
FF&E stands for furniture, fixtures and equipment: the movable items that furnish a building, such as beds, desks, chairs, lamps, mirrors, artwork and some equipment. The term is common in hotel, hospital, office and campus projects, where these items are specified by a designer and bought as a package.
Is FF&E procurement software the same as interior design software?
Not quite. Interior design software focuses on drawings, proposals and the design firm’s own billing. FF&E procurement software follows each item from specification to purchase order, shipment, installation and payment, against the project budget. Some products do both; check which part a product was built for.
Can a general procurement suite handle FF&E?
It can handle the approvals, purchase orders, supplier records and invoices. It usually lacks room-type schedules, finish samples, warehouse release by floor and installation tracking. Organisations that buy FF&E rarely often manage with their suite and a careful item schedule; owners with many projects tend to add a specialist tool.
How much does FF&E procurement software cost?
Prices are rarely shown up front: the home pages of the two specialist vendors read for this guide show none, and point to a demonstration or a separate pricing page. Ask each vendor for a price for your volume of projects and users, including designers, agents and suppliers, and add set-up, training and data export at the end.
What is an FF&E item schedule?
An FF&E item schedule lists every specified item with its quantity per room type, the number of rooms of each type, spares and the resulting order quantity. It is the base for quotes, purchase orders and deliveries, and the first document to update when the design or the room count changes.
