How do you choose accounts payable automation software?
Short answer
Accounts payable automation software receives, checks, matches, approves and pays supplier invoices with little manual work; choose it on your invoice formats, your ERP and a test with your own invoices.
Key takeaways
- Accounts payable automation software runs the invoice side of procure-to-pay: receiving invoices in every format, reading them, checking and matching them, routing approvals, paying, and answering suppliers.
- It comes as the accounts payable module of an ERP, a specialist AP automation product, the AP module of a procure-to-pay or source-to-pay suite, or a payments-led tool for smaller companies.
- E-invoicing laws now shape the choice: Germany, Belgium, Poland, France and India already require structured invoices in some or all cases, so the software must send, receive and archive them in the right format.
- Test AI features on a sample of your own invoices, including bad scans and non-PO invoices, and count the fields that were wrong.
- Two vendors in this guide publish entry prices; the rest quote on request. Compare offers on the same invoice volume, entities, payment fees and term.
What is accounts payable automation software?
Accounts payable automation software is an application that handles supplier invoices from arrival to payment with as little manual work as possible. It receives invoices in every format, reads their data, checks and matches them against orders and receipts, routes exceptions and approvals, and pays or sends payment files to the bank. Choose it by testing it on your own invoices.
Take a common case. A company receives 3,000 invoices a month: some as PDFs by email, some on paper, a few as structured e-invoices. Today two clerks retype them into the ERP, chase approvers by email and answer supplier calls about payments. With AP automation software, the PDFs are read automatically, the e-invoices go straight in, invoices that match their purchase order are approved without anyone touching them, and suppliers see payment status themselves. The clerks work only on the exceptions.
This page is about choosing the software. The steps it automates are explained in invoice processing, and the matching rules and tolerances in three-way matching. A guide to accounts payable automation itself, its process, benefits and best practices, is in preparation. If you also need requisitions, purchase orders and catalogues, start with procure-to-pay software, which covers the whole cycle.
What does accounts payable automation software do?
Accounts payable automation software does the same set of jobs in every product, with different depth. The table lists each job, what it removes from today’s work, and a test to ask for in a demonstration.
| Function | What it does | Why it matters | Test to ask for |
|---|---|---|---|
| Invoice intake | Receives invoices from email, scan, supplier portal, EDI and e-invoicing networks into one queue | No invoice is lost in a personal inbox | Send the same invoice by email and by portal; it must appear once |
| Data capture | Reads supplier, dates, amounts, tax and lines from PDFs and scans; takes e-invoices as data | Removes retyping and its errors | Load 50 of your own invoices, including poor scans, and count wrong fields |
| Validation and duplicates | Checks tax numbers, mandatory content, supplier bank account and possible duplicates | Stops invalid invoices and double payments before approval | Send an invoice twice with a slightly different number |
| Coding | Proposes the general ledger account, cost centre and tax code for non-PO invoices | Saves time on invoices with no order behind them | Code ten of your non-PO invoices and compare with your accountant |
| Matching | Compares invoice, purchase order and goods receipt within tolerances; blocks what does not match | Lets matched invoices go through without a person | An invoice 10% above the PO price must stop with a clear reason |
| Approval workflow | Routes exceptions and non-PO invoices by amount, cost centre and entity, with reminders and delegation | Approvals stop waiting in email | An approver on holiday: show the delegation and the reminder |
| Payment | Builds payment runs or pays suppliers directly, by bank transfer, card or cheque, with remittance advice | Pays on time and records why each invoice was paid | A payment run with one invoice on hold |
| Supplier self-service | Lets suppliers send invoices and see their status | Fewer supplier calls to accounts payable | Log in as a supplier and find a blocked invoice |
| Reporting and audit trail | Records who did what and when; shows backlog, cycle time and exceptions by cause | Proves controls to auditors and shows where to fix the process | Show every action on one invoice, from arrival to payment |
Intake, capture and matching decide how many invoices pass without a person; validation, approval and the audit trail decide whether the result is safe.
Matching and payment blocks work the same way in ERPs and in specialist tools. Microsoft’s documentation for Dynamics 365 Finance, for example, describes two-way matching (invoice price against order price) and three-way matching (also invoice quantity against received quantity), with tolerances such as a 5% net unit price tolerance: an invoice at 1.05 against an order at 1.00 passes, one at 1.10 does not. SAP S/4HANA blocks the whole invoice for payment when one line exceeds its tolerance, until someone releases it.
Some buyers search for accounts payable workflow automation: approvals, reminders and delegation without the capture and payment parts. That is the approval row of the table. It removes the longest waits, but it still leaves invoices to be retyped unless capture or e-invoicing is added.
Which types of accounts payable automation tools are there?
Accounts payable automation tools come in four types. The right type depends mostly on how many ERPs you run, whether purchasing already sits in a suite, and how you pay suppliers.
- ERP accounts payable module
- The invoice and payment functions of the ERP itself, sometimes with an add-on for capture. No extra system, but capture of PDFs and supplier self-service are often limited.
- Specialist AP automation product
- A product built around the invoice: intake from every channel, capture, validation, coding, matching, approvals and often an e-invoicing network, connected to one or several ERPs. Useful when several ERPs or countries must share one invoice process.
- Procure-to-pay or source-to-pay suite module
- Accounts payable inside a suite that also runs requisitions, orders and catalogues, and sometimes sourcing and contracts. Invoices are matched against orders raised in the same system.
- Payments-led platform
- A tool for smaller and mid-sized companies that combines bill approval and supplier payments, often with tax form collection, and connects to accounting software rather than a large ERP.
Analysts now treat this as its own market: Gartner first published a Magic Quadrant for Accounts Payable Applications in March 2025, and a second edition in June 2026. Compare products by the jobs in the table above rather than by the category a vendor claims. Software that automates other procurement steps, from intake to ordering, is compared in procurement automation software.
Which e-invoicing rules shape the choice?
E-invoicing rules shape the choice because, in a growing number of countries, a PDF by email is no longer a valid invoice between businesses. The software must receive structured invoices, send them if you also invoice, check them against the national format and archive them as the law requires. The table lists the rules in force in some major markets, as checked in October 2026.
| Country or area | Rule | Since | What the software must do |
|---|---|---|---|
| European Union, public buyers | Public contracting authorities must accept electronic invoices that follow the European standard EN 16931 (Directive 2014/55/EU) | In force (2014 directive) | Accept EN 16931 invoices, for example Peppol BIS Billing 3.0 |
| Germany | Every business must be able to receive structured e-invoices from domestic businesses; a plain PDF is not an e-invoice. Issuing becomes compulsory in stages | 1 January 2025 (receipt) | Receive and archive XRechnung and ZUGFeRD invoices |
| Belgium | Structured e-invoices between VAT-registered businesses | 1 January 2026 | Send and receive structured invoices |
| Poland | Invoices issued through the national e-invoicing system KSeF: large taxpayers first, then all others | 1 February 2026 and 1 April 2026 | Connect to KSeF to receive and issue invoices |
| France | E-invoicing between businesses, phased in | From 1 September 2026 | Receive and issue structured invoices as each phase applies |
| India | Registered businesses above ₹5 crore of turnover report business invoices to the Invoice Registration Portal | 1 August 2023 (current threshold) | Hold the invoice reference number returned by the portal |
List every country where you receive invoices before you write the requirements: a tool that cannot receive a mandated format forces you to keep a second channel just for that country.
Other rules are coming. The EU’s VAT in the Digital Age package, Council Directive (EU) 2025/516, lets every Member State require e-invoicing for domestic transactions. Peppol BIS Billing 3.0, the format used on the Peppol network, takes its element names from EN 16931, so a tool that handles Peppol invoices is already close to the European standard. Ask each vendor which national formats and platforms it supports today, by country, and which it plans.
What do AI features in accounts payable software do?
AI features in accounts payable software mostly read invoices, propose accounting codes, flag unusual invoices and answer routine questions. Most vendors in this guide now describe their product with AI or AI agents. The useful question is which of the jobs in the table above the AI does, and how you check it.
- Reading invoices. The software extracts data from PDFs and scans, line by line. Test it on your worst documents: handwritten notes, photos, invoices in several languages.
- Coding non-PO invoices. The software proposes the account and cost centre from past invoices of the same supplier. Check what it proposes for a new supplier with no history.
- Flagging anomalies. The software warns about duplicates, unusual amounts or a new bank account. Ask how many false alarms it raised for a customer of your size, and who reviews them.
- Answering suppliers and approvers. An assistant answers “when will I be paid?” or explains why an invoice is blocked. Check that it reads the same status as the ERP.
- Agents. Some vendors describe agents that chase missing receipts or resolve simple exceptions on their own. Ask what an agent may do without a person, and what it records.
Keep one limit in mind: an AI that approves or pays is a control, not a convenience. It needs the same rules as an employee: a defined role, limits, a log of every action, and no single path that both creates a supplier and pays it. What AI agents are and the controls they need is explained in what is an AI agent for procurement, and AI in procurement more widely in AI in procurement.
How do you choose accounts payable automation software?
Choosing accounts payable automation software is a short selection project with your own invoices as test data. Start from your invoice volumes, formats and systems; the vendor list comes last.
- Count the work: invoices per month by channel (paper, PDF, e-invoice, EDI), share of invoices with a purchase order, number of ERPs, legal entities, countries and currencies.
- Measure today: first-time match rate, exceptions by cause, days from arrival to approval, and late payments. You will compare vendors’ promises with these figures.
- List the formats and platforms required by law in each country where you receive invoices, from the table above.
- Decide the type of tool first: the ERP module, a specialist product, the module of a suite you use, or a payments-led platform.
- Prepare a test pack: 100 real invoices, including poor scans, credit notes, non-PO invoices, duplicates and an invoice above the order price, with the expected result for each.
- Run scripted demonstrations with two to four products on the same pack, then a trial on one entity for a full month-end close.
- Compare total cost over the contract term, including payment and network fees, and agree in writing how invoices, images and the audit trail can be exported if you leave.
The same method runs any software selection; the procurement software guide explains long lists, scripted demonstrations and total cost of ownership in more detail.
Which criteria decide between accounts payable automation systems?
The criteria that decide between accounts payable automation systems are the ones that are hard to change after go-live: the link to the ERP, the formats received, how exceptions are handled and how payments are controlled. The table gives the question, the evidence to request and the warning sign for each.
| Criterion | What to ask | Evidence to request | Warning sign |
|---|---|---|---|
| ERP integration | How do suppliers, orders and receipts come from our ERP, and how are approved invoices posted back? | A live connector for your ERP version and a customer reference using it | A nightly file with no error report |
| Invoice formats | Which channels and national e-invoice formats are received today, by country? | A received e-invoice in each mandated format you need | Mandated formats “on the roadmap” |
| Capture accuracy | What share of fields on our test pack was correct without a person? | The result on your 100 invoices, field by field | Accuracy figures from other customers only |
| Exception handling | How are price, quantity and missing-receipt exceptions routed and resolved? | Three exceptions resolved live by a buyer and a requester | Exceptions sent back to accounts payable by email |
| Non-PO invoices | How are invoices without an order coded and approved? | Ten of your non-PO invoices coded and routed | Every non-PO invoice coded by hand |
| Payment controls | Who can change supplier bank details, and is every change verified and logged before payment? | A bank-account change shown up to the next payment run | The same user can change bank details and release payments |
| Supplier experience | Can suppliers send invoices and see status without calling us? | A supplier login and the supplier fee schedule | Fees charged to small suppliers |
| Cost and exit | What do licences, invoice volumes, payment fees, set-up and support cost over the term? | A priced proposal for the full term and an export specification | Per-invoice pricing with no cap on growth |
Weight ERP integration, invoice formats and payment controls highest: a tool that cannot read your invoices, post them cleanly or protect the bank account adds a step instead of removing one.
Payment controls matter because accounts payable is where fraud turns into a transfer. The FBI’s Internet Crime Complaint Center recorded about $3.05 billion of reported losses from business email compromise in 2025. Payment rules now give buyers checks to use: Verification of Payee for euro credit transfers since October 2025, and, in the United States, Nacha rules since 2026 that ask non-consumer ACH originators to run risk-based processes to identify payments induced under false pretenses, such as vendor impersonation. GAO’s internal control standards add the principle: no one person controls every key step of a transaction. For US suppliers, ask whether the tool collects Form W-9 and checks tax identification numbers with the IRS TIN Matching service before the first payment.
Which accounts payable automation software vendors are there?
Accounts payable automation software vendors fall into the four types above. The table describes some of them as their own pages present them, in alphabetical order, with the prices they publish. It is a starting point for a long list, not a ranking and not a list of recommended systems.
Disclosure: the author works as an Ivalua consultant. The products named in this section are described from their vendors’ public pages only, as read on the dates shown; this is not a ranking or a recommendation, and none was tested for this guide.
| Vendor | Type | Accounts payable scope in its own words | Published prices |
|---|---|---|---|
| AvidXchange | Specialist AP automation | AI-powered AP automation and payments connected to the ERP or accounting system; supplier payments through a supplier hub | No |
| Basware | Specialist AP automation | Invoice lifecycle management: AP automation for PO and non-PO invoices, an e-invoicing network, compliance and invoice assurance | No |
| BILL | Payments-led platform | Bill approvals, payments, W-9 collection and accounting sync; 2- and 3-way matching in the Enterprise plan | Yes: $49, $65 and $89 per user per month; Enterprise on quote; payment fees extra |
| Coupa | Source-to-pay suite | Spend management platform; AP automation within its procure-to-pay modules, with payments | No |
| Esker | Specialist AP automation | AI-driven data capture, touchless processing and electronic workflow for accounts payable | No |
| Ivalua | Source-to-pay suite | Enterprise AI platform for procurement; AP automation among its modules | No |
| Medius | Specialist AP automation | Autonomous AP with agentic AI across invoice-to-pay: capture, matching, statement reconciliation, payments, fraud and risk detection | No |
| SAP Concur | Specialist AP automation | Concur Invoice: invoice capture, OCR data extraction, approval workflow and purchase order matching | No; subscription pricing on quote |
| Stampli | Procure-to-pay suite | Intelligent procure-to-pay platform; an AI agent codes and matches invoices and routes approvals, with the ERP as the system of record | No |
| Tipalti | Payments-led platform | End-to-end AP: supplier management, invoice processing, PO matching, global payments, tax compliance, payment reconciliation | Yes: AP from $99 a month; transaction fees and add-ons extra |
Self-descriptions sound alike; use the type column to build a long list, then let each vendor process the same pack of your own invoices before you compare.
The table says what vendors offer, not how well it works. A feature missing from a vendor’s page is not proof that the product lacks it, and vendor wording changes often. ERP publishers such as SAP, Oracle and Microsoft also automate accounts payable inside their own finance modules; start there if your ERP is recent and you run one instance. Suites that cover the whole cycle from sourcing to payment are compared in source-to-pay software.
How much does accounts payable automation software cost?
On the pages read for this guide, two vendors publish prices: BILL from $49 per user per month and Tipalti from $99 a month for accounts payable, both with payment or transaction fees on top. The others quote on request. Quotes usually depend on invoice volume, the number of entities and ERPs, the countries and e-invoicing formats, and the payment methods.
Add the cost around the licence: ERP integration, supplier communication, e-invoicing network fees, payment fees, training and support. Compare offers on the same yearly invoice volume and the same term. A price per invoice looks small until volumes grow, so ask for the price at your volume in three years.
Questions
What is the difference between accounts payable automation software and procure-to-pay software?
Accounts payable automation software covers the invoice side: receiving, reading, checking, matching, approving and paying invoices. Procure-to-pay software also covers requisitions, purchase orders, catalogues and receipts. If orders are already raised well in your ERP, AP automation may be enough; if purchasing itself is the problem, look at procure-to-pay first.
Can accounts payable automation software handle invoices without a purchase order?
Yes. Non-PO invoices, such as rent, utilities or subscriptions, cannot be matched to an order, so the software proposes accounting codes and sends them to the right approver. Test it with ten of your own non-PO invoices, because they are usually where most of the manual work remains.
Does accounts payable automation software replace the ERP?
No. The ERP stays the system of record for suppliers, orders, receipts, accounting and usually payments. AP automation software reads from the ERP, does the invoice work and posts approved invoices back. That is why the quality of the ERP integration is the first criterion.
Is OCR enough to automate accounts payable?
No. OCR, or optical character recognition, only turns an image into text and data. Automation also needs validation, matching against orders and receipts, approval routing and payment controls. Structured e-invoices remove the reading step altogether, which is why e-invoicing support matters as much as capture accuracy.
